Accessing and Managing the BigChange File Library

The BigChange File Library is a centralised repository where you can manage and organise files for easy access through the BigChange app. This guide will walk you through accessing the File Library, using filters, managing file groups, and adding new files.

Accessing the File Library

To access the File Library, navigate to:

  • Go to Account Settings.
  • Select Settings.
  • Choose Forms.
  • Select File Library.

Here, you will find a list of all files uploaded to BigChange, making them accessible to your resources via the BigChange app.

Using the Filters

  1. Use the filters at the top to narrow down your list by Resource Group 
  2. File Group.
  3. Alternatively, search for a file using the File Name search box.

Managing File Groups

File groups help organise your files. For example, you can create a group called "Policies" for policy documents.

Create a New File Group

  1. Select the Add button.
  2. Enter a name for your file group.

Edit a File Group

  1. Select a file group from the drop-down list.
  2. Select the Edit button.
  3. Amend the name.

Delete a File Group

  1. Ensure no files are assigned to the group otherwise you will get a warning popup.
  2. Select the file group from the drop down list
  3. Select the Delete button.

Managing Files in the Library

File Library List

  • View all files uploaded to the BigChange system for access via the BigChange app.
  • Sort the list by selecting the arrows next to the column headers.

Adding a New File

  • Select the Add button to upload a new file.
  • Select a file to attach from your computer.
  • Name the file for app visibility.
  • Assign it to a file group from the drop-down list.
  • Configure usage settings based on your requirements:
    • File Library
    • View file question type
    • File Visibility settings for worksheets
    • Display file version first time - this option will only appear the first time the resource has a new version of the file to read.
    • Display file to each resource every (x) calendar days - this will show the view file question every X number of days.
    • Display file from/to - dictates a date range for the file to show from and to.
    • Clear visibility settings - this will clear the above settings and dates entered.
  • Assign a Resource Group from the drop-down list.

Once a file is added to the file library, it will appear on the resources device depending on the settings applied.  Please refer to the app article Accessing File Library and Viewing Files
File are found on the app by navigating to the file library icons from the dashboard.
