Agreements are contracts specifying the duration of asset servicing.

Agreements List View

  • Quickly view all agreements by customer, Sites, status and end date.
  • By selecting an agreement from the list view you are able to view:
    1. An overview of the contract.
    2. Schedule of services.

Creating a New Agreement

PLEASE NOTE Before you can schedule in any services for assets, you need to make sure the assets are added to the site for which the agreement is being created.

Select the "New Agreement" button.

(1) - Details

  • Reference: This is an optional field should you wish to add a manual reference. (If left blank there will be no reference automatically created).
  • Start Date: Beginning of the agreement.
  • End Date: Conclusion of the agreement.

(2) - Service Schedule

  • Add a service schedule: Select this button to create a service schedule.

  • This window will show you a service schedule on existing Agreements.

Add more schedules by selecting "+ Add Service Schedule."

  • Select "Add Schedule" and choose a category.
  • Name: Provide a name, e.g., "Annual Boiler Service."
  • Duration: Specify the anticipated service duration.
  • Task: This allows you to add a task to the service.
  • Frequency: Select from the dropdown list. Depending on the frequency, subsequent fields will vary.
  • Select "Add."

(3) - Side Widget

  • Owner: The agreement holder, either a parent in your CRM or the site directly.

  • Search: Locate the agreement owner.

  • Sites: Specify the site(s) for the service. Multiple sites can be included in one agreement.

(4) - Agreement Status

  • Once all service schedules are added, the agreement remains in draft until scheduled.

(5) - Save & Close Agreement

  • Back to the Agreements list view, you are able to see at quick glance which Agreements are in Draft and need scheduling and which ones are Active.

 Finalising Agreements

  • Once all service schedules are added, the agreement remains in draft until scheduled.
  • Open a agreement in Draft:
    1. Edit by selecting the "Edit" button.
    2. Schedule by selecting the "Schedule" blue button.
    3. Delete the agreement by selecting the three dots > "Delete Agreement."

Once the agreement has been scheduled the system will automatically create the services which can then be found under the Scheduling sub tab which will list all services or the Schedule tab within a specific argreement.

 

Schedule Tab (within an agreement)

List View

List is a list view of all services schedule for this agreement. The list can be filtered by due date or completion date.

 

Planner view

By selecting the planner view you are able to see all the services on a weekly planner.
