Introduction to Waste Documentation in BigChange

Managing waste documentation is crucial for compliance with environmental regulations and ensuring smooth operations. BigChange offers a solution for handling waste documentation, making the process efficient and reliable.

Any business involved in transporting waste must be able to provide documentation in compliance with the Environmental Protection Act 1990. For every hazardous waste collection, a Hazardous Waste Consignment Note is required. Non-hazardous waste collections must be accompanied by either a Waste Transfer Note for each collection or an Annual Waste Transfer Note that covers all collections made within a 12-month period.

If you would like to use this waste documentation process, please contact BigChange Support. They can arrange for the necessary worksheets and templates to be added to your site. Once these are in place, you can follow the steps outlined below to set it up.

Waste Documentation Overview

BigChange streamlines waste documentation by integrating worksheets, templates and custom fields into job workflows. This ensures that all necessary information is captured accurately and efficiently.

How they work

Each 'collection' job sets the location for the waste collection.  This job will also contain one or many 'Waste worksheets'.  The driver will fill in the worksheets required by entering the quantity and type of waste collected, obtain a customer signature and this is turn will then fill in the waste section on the waste documentation automatically.

Upon disposal, another worksheet (or separate disposal job) will then capture the weight disposed and the location of the disposal.

Why use a Group Job.

This is the preferred method for managing the waste process within BigChange. Begin by creating a 'Group Job,' then add individual single jobs within this group to represent your collections at various sites throughout the day. The final job within the group will be a 'Disposal Job,' where you will dispose of the waste at a disposal site, complete with all the collected documentation.

This enables the creation of various types of paperwork:

  • Generating the document from the collection job(s) will display the waste documentation for the collection site(s).
  • Generating the document from the disposal job will include all the collection paperwork, which is typically what the disposal site requires.

Why use an individual Job

This method enables one collection and one disposal per customer by creating a single job and incorporating a waypoint (stop) within that job for the disposal. 

  • By doing it this way it keeps all necessary paperwork separate.

Group job vs Single job - The Pros and Cons

Group Job

Pros:

  • Optimal for Multiple Site Collections: Ideal when collecting waste from multiple sites before disposal.
    • The disposal site needs to sign only once, rather than for each individual collection job.
  • Automated Document Sending: Enables the use of the system's "Auto-document sending" feature to:
    • Notify the customer when waste is initially collected.
    • Inform the disposal site when the waste is "on the way."
    • Confirm with the disposal site when the disposal job is completed.
  • Detailed Journey Data: Provides more granular journey data, making it easier to discuss demurrage charges. You can more easily determine if delays occurred at the collection or disposal end.

Cons:

  • Potential Conflict with Existing Setups: If you are already using job groups for projects, this method may conflict with your current setup.

Single Job

Pros:

  • Ideal for Single Collection and Disposal: Perfect for scenarios involving a single collection followed by a single disposal.
  • Suitable for Multiple Single Runs: Works well for projects that involve multiple single runs, such as emptying a large tank with multiple loads.
  • Flexible: Can be used both inside and outside of group jobs, so it won't interfere with existing project or group setups.

Cons:

  • Limited Automated Document Sending: Cannot use auto-document sending to notify disposal sites.
  • Less Detailed Journey Information: Provides less accurate journey data.

Waste Return Reports

At BigChange, we offer two Waste Return Reports accessible from the Analytics and Reporting section. These reports are tailored to fulfill the legal requirements for quarterly returns of non-hazardous and hazardous waste, as mandated by the Environment Agency. They are specifically designed to comply with the agency's standards.

  1. Navigate to Analytics & Reporting in the top menu.
  2. Select the Hazardous waste: consignee returns report.
  3. Select the National operators waste return report (non hazardous).
