In BigChange, there are two primary types of licenses: Resources and Web Users.
Resources
- Definition: The term 'Resource' refers to your engineers, field workers, technicians, drivers, and other staff who are out in the field completing jobs.
- Usage: These individuals use the BigChange mobile app to manage and complete their tasks while on-site.
Web Users
- Definition: Web Users are typically your administration staff who log into the BigChange site via a computer browser.
- Usage: These users are generally involved in scheduling, finance, HR, and administrative tasks. They do not use the mobile app out in the field.
By distinguishing between these two types of licenses, BigChange ensures that the appropriate functionalities and access levels are provided to different roles within your organisation, optimising both field operations and administrative processes.
Resource Licences

BigChange offers several types of resource licences, each with specific permissions and restrictions:
- Not Active for BigChange:
- User will not receive jobs.
- Can still log into BigChange to complete timesheets, expenses, vehicle checks, etc.
- Unable to schedule jobs to the resource.
- Only Visible on Schedule:
- Jobs can be scheduled to the resource on the schedule.
- Jobs will not send to the device.
- Active for BigChange:
- Resource has access to all areas of the app and can receive jobs.
- May need to be linked to a web user for some permissions.
- Resource is Subcontractor:
- Licence type for subcontractors.
- Only has access to jobs, nothing else.
- Restrictions:
- No access to the file library, vehicle checks, timesheets, or expenses.
- Customers normally do not pay for these licences upfront; they pay BigChange £1 for each completed job, charged retrospectively.
- Pricing: £1 per job completion with no cap on the charge.
Web User - Link to a web user to ensure all mobile app functionality is available.
To ensure all mobile app functionality is available for a resource, you need to link them to a web user. Here are the two options you can choose from:
Option 1: Link to an Existing Web User
- Identify the Existing Web User: Determine if the resource is already a web user within the system.
- Link the Resource: Link the resource to the existing web user.
- Automatic Permissions: The resource will automatically inherit the permissions already set for the web user.
Option 2: Create a New Web User
- Create a New Web User: Set up a new web user within the system.
- Custom Permissions: Configure custom permissions for the new web user according to the resource's needs.
- No License Impact: Note that creating a new web user in this way does not consume any of your web user licenses.
Additional Note on creating a new web user:
- Dummy Email Address: If the resource does not have an email address, you can create a dummy email address. The system will not send out any emails to this address, so it can be used solely for the purpose of creating the web user.

BigChange also provides various web user licences to manage access and permissions on the website:
- Inactive User:
- Inactive account.
- Unable to log into the website.
- We recommend making any user within BigChange 'inactive' when a staff member leave for example. This is a way of keeping an audit trail for record-keeping purposes only rather than deleting the user completely out of the system.
- Does not appear elsewhere within the system.
- User Linked to a Resource:
- Used to link a resource to a web user for greater access on the app and is controlled under web user/roles.
- Cannot log into the website.
- The reason we link resources to web users in BigChange is a way to control what your resources can see and do on the mobile app. It is away of controlling role permissions.
This doesn't take up any of your web user licenses, but is used to grant permissions, or impose restrictions upon your resources.
- Active User:
- Active web user.
- Able to log into the website and complete actions allowed within their restrictions.
- User for Integration:
- Web user account used for integrations and automations.
- Cannot log into the website in the normal manner.
