Setting Up Automatic Referencing for Job Types

Automatic Referencing ensures that each job in BigChange has a unique reference, making it easier to differentiate between them when searching. This guide will walk you through the steps to set up Automatic Referencing for your Job Types.

To setup automatic referencing on your job types.

  • Navigate to [Top menu] Profile (icon) > Admin settings > [Side menu] Schedule > Job types.

Select the job type you require, and then select Automatic Referecing.

Setting Up Automatic Referencing

Configuring Reference Prefix

  • The Reference Prefix is used to identify a particular Job Type.
  • Examples:
    • For an installation Job Type, use a prefix like "INS/".
    • For a company-wide prefix, use something like "BIG/".

Configuring Reference Format

  • The Format determines the numbering style, similar to Excel.
  • Examples:
    • If you want a 6-digit number after the prefix, enter "000000" in the Format box.
    • If the format is blank, the first job will be referenced as INS/1.
    • With "000000" as the format, the first job will be referenced as INS/000001.

Setting the Next Number

  • The Next Number determines the starting number for the job references.
  • Example:
    • If the Next Number is set to 34, the first job will be referenced as INS/000034.
    • This is useful if you have already created jobs and want to continue the sequence.

The next number applies to all job types. Regardless of whether you prefix it with "Install" or "Service," it will automatically assign the next sequential number.

Saving the Configuration

  • Once all fields are filled out, select Save.

Removing Automatic Referencing

  • To remove Automatic Referencing, open the Job Type and select Delete.

Configuring Existing Job Types

  • If the Job Type is already created, select it from the list.
  • Configure the Automatic Referencing for future references only; past references will remain unchanged.

If you have already created the Job Type, you can click on the Job Type from the list, this will give the option to configure the Automatic Referencing. This will affect future references only, not past ones.
