Understanding Predefined Invoice Items

Predefined invoice items are useful for saving items of financial value that are not stock or equipment, such as services or additional tasks with associated costs.

These items can be linked to job worksheets, ensuring that when a predefined invoice item is added to a job, the linked worksheets are automatically assigned.

 

Adding Predefined Invoice Items

  • Navigate to [Top menu] Account settings, then select Settings.
    1. Select Financial in the side menu.
    2. Select Predefined Invoice Items.
    3. Select the Add button to create a new item.
    4. Fill in the required fields on the form. Refer to the article on predefined invoice items for more details.
    5. In the 'Worksheets' field, select one or multiple worksheets from the drop-down list by ticking the checkboxes.
    6. Select Ok to save your changes.

Editing Predefined Invoice Items

  • To edit an existing predefined invoice item, select the item and choose Edit.
  • Scroll down to the worksheet field to add or remove worksheets as needed.

Adding Predefined Invoice Items to a Job

Automatic Addition Based on Job Type

  • Predefined invoice items can be automatically added to jobs based on job type through Admin settings.

Manual Addition to a Job

  • Select a job (existing or new) to which you want to add a predefined invoice item.
  1. Navigate to the Financial tab.
  2. Select Add Predefined Invoicing Item.
  3. In the reference field, start typing your predefined item and select the appropriate one from the list.
  4. Select Add.

  • Navigate back to the Details tab to see the worksheet(s) associated with the predefined item now added.

Removing Predefined Invoice Items

  • If you remove a predefined invoice item from a job, a prompt will appear asking if you want to remove the linked worksheet.
