Adding Resources in BigChange

This article provides a guide on how to add resources in BigChange. Understanding the various options available when setting up a resource is crucial as it unlocks additional functionalities within the system.

Creating a Resource

  • From the top menu, select "Account Settings".
  • Select Settings.
  • From the side menu, select "Resources".
  • Select "Add - Edit" and then "Add".

Completing the New Resource Form

  • Fill out a new resource form for each resource.
  • To edit an existing resource, select "Add - Edit" and then select the relevant resource.

Resource Information

  1. Name: The name of the resource.
  2. Group: Compartmentalise resources based on their role within your business, e.g., Engineers, Managers, Apprentices.
  3. Mobile Phone: The resource’s contact number, which must begin with the country code, e.g., +44 for the UK.
  4. Time Zone: Set different time zones for the location of each resource.

Tracking Settings

  1. Tracking Settings: Tick this box to display the resource on the Map and fix them to a specific vehicle.
  2. Can set themself as passenger: Ticking the box which allows a Resource to set themselves as a passenger is relevant in different scenarios eg if they are an assistant on a job.  It is also useful when tracking driver behaviour, for eg a passenger isn’t responsible for speeding.

Resource Licence

  1. Not active for BigChange: The resource will not appear on the schedule and their code will not work on any devices.
  2. Only visible on schedule: The resource will be displayed on the schedule, and jobs can be scheduled to them for completion on the website.
  3. Active for BigChange: The resource will have full functionality of the application, and jobs can be scheduled and completed from the tablet.
  4. Resource is subcontractor: Allows subcontractors to download the app free of charge and complete jobs as if they were your own engineer. Subcontractor licences are charged on a per-job basis with no standing charge. For resources who have been assigned subcontractor licences, they will not be asked to complete vehicle checks, timesheets or expenses.

BigChange Settings

  1. Hide Contacts’ parent info on the device: Display or hide the parent information for this contact on the device.
  2. Resource can self-allocate unscheduled jobs: Allows resources to allocate unscheduled jobs for themselves.
  3. Default answer button: Select whether or not you wish this to appear on a device and if yes, where.
  4. Max. travel distance for a job: Set a limit on how far a resource can travel for a job.
  5. Reference: Internal resource reference, such as an employee number.
  6. Code: Unique Driver ID for logging into the BigChange App. The default number provided is a random number but this can be changed to something more memorable, providing that it conforms to the following rules: – It must contain a * or # at the start or end and contain a 4-6 digit combination not already in use. – The same digit may not occur more than twice within the same code eg not 2222* – Obvious patterns are invalid eg #23456 or 7531*
  7. Business key: For customers with a business key and key reader, assign a business key to the resource.
  8. Private key: Assign a private key to classify a journey as ‘private’.
  9. Tacho card: Enter tacho details for vehicles with tacho card readers.
  10. Fuel card: Enter details if the resource is assigned their own fuel card.

Additional Resource Information

  1. Payroll number: The payroll number of the resource.
  2. Manager: The manager of the resource, useful for creating alerts.
  3. Start of holiday year: Determines the start date of the holiday year for the resource.
  4. Working hours: Sets the working hours of the resource, displayed on the schedule.
  5. Out of working hour tracking data is private: Tick this box to set out-of-hours tracking data as private.
  6. Default hourly rate: The hourly rate of the resource.
  7. Special hourly rate: The rate used for the resource when working outside of their working hours.
  8. Always assists: Automatically adds this resource as an assistant when the main resource has a job.
  9. Web user: Link the resource to a web user for extra restrictions or access.
  10. Number of days vacation: The number of allocated vacation days.
  11. Icon: The icon set against the resource.
  12. Skills: Allocated skills to a resource, which can be set to expire and used to set up job constraints.
