Creating Alerts

Creating alerts in BigChange is a powerful way to stay informed about important events and activities within your organisation. This guide will walk you through the process of setting up alerts, customising them, and understanding common alert types.


Creating a New Alert

To create a new alert, follow these steps:

  • Select Alerts from the top menu.
  • Select Create a New Alert.
  • A dialogue box will appear, allowing you to configure the alert according to your needs.

Configuring Alert Details

1. Send an alert when

  • Choose the type of alert you wish to create by selecting options from the dropdown menus.
    • Who
      • Resource.
      • Vehicle.
      • Web user.
      • Job.
      • Contact.

    • What
      • These options will vary depending on the 'WHO' selected

2. Select recipient(s)

  • Decide how each recipient will receive the alert: SMS, email, device, or popup.

  • Web User information is sourced from the Resource data, but you can also add information manually.

Selecting Recipients

  • Send to: you can either start typing a name such as a web user of resource and the system will narrow down a list to choose from.

  • You can add an email address manually if the user isnt in the system as a web user or a resource.
  • You can select the 'Click here to add dynamic recipients.

  • Note: SMS messages are charged at £0.05 per message + VAT.

3. Review or edit the message that will be sent

  • For email alerts, you can use a customised email body template instead of the standard message.

  • Select your preferred template from the dropdown menu.
  • Be aware that choosing a template will override the email subject and message contents set in the initial sections.

Creating and Setting Up Templates

  • To use a template, create it in settings and set its usage for email and/or text.
  • Open your template, go to the usage tab, and add Alert – Email or Alert – SMS as the type.
