Managing 'On Stop' Contacts in BigChange

In BigChange, the 'On Stop' feature prevents jobs from being created against a contact designated as 'on stop' and stops specific financial documents from being raised. This article will guide you through setting up and managing 'On Stop' contacts.

Setting Up 'On Stop' for Contacts

  • Navigate to the CRM in the top menu.
  • Select CONTACTS in the site menu.
  • Select CONTACTS Tab.
  • Using the filters to locate the contact.

Example

In this example, we will use the parent contact and apply the 'On Stop' rules to all child sites. If there are different requirements, the 'On Stop' rules can be applied individually to each child site.

  • Select the parent contact from the list view.
    • Select edit.
    • On the detail tab select the 'On Stop' checkbox.
      • Optionally, select 'Apply to sub-contacts' if you want the status to apply to related contacts.

Completing Financial Details

  • Select the Financial tab.
  • Go to the Terms tab.
  • Set the Credit limit.
    • Confirm the 'On Stop' status.
    • Decide if it will apply to sub-contacts.
  • Set the Default payment terms.

Additional Fields for Sub-Contacts

  • If 'Apply to sub-contacts' is selected, two additional fields will appear:
    • Descendants: Choose between Immediate (children) or All (children, grandchildren, etc).
    • Control Type: Select either unique or shared credit capacity.

Visual Indicators and Notifications

  • A red banner will appear across the top of the contact profile, indicating the contact has been put 'On Stop', along with details of when and by whom.
  • The 'On Stop reason' will also be displayed.

Managing Restrictions in Account Settings

Configuring Account Settings

  • Navigate to Account settings in the top menu.
  • Select Settings.
  • Go to ACCOUNT in the side menu.
  • Select Account settings.
  • Scroll down to find the 'On Stop' section.

Automatic Deactivation of 'On Stop' Status

  • If a credit note is raised against the contact, or an invoice is paid reducing the account deficit below the contact’s credit limit, the 'On Stop' status will automatically deactivate.
