White labeling is a key feature on BigChange that allows emails sent from the system to appear as if they are sent from your own email address. This not only enhances the professionalism of your communications but also ensures that responses are directed to your monitored inbox. This guide provides a detailed walkthrough on how to set up white labeling on BigChange.


Understanding the Types of White Labeling

BigChange offers three types of white labeling: system-wide, user-specific, and hybrid. Each type has its own advantages and potential drawbacks, and the choice depends on your specific needs.

 

System-wide White Labeling

This type applies the same email address for all user accounts. It is recommended due to its simplicity and consistency. It ensures that every email comes from the same mailbox, making it easier to manage responses.

User-specific White Labeling

This type assigns a unique email address for each user. While it allows responses to be directed to the correct person, it requires individual setup for each user, making it more time-consuming to implement.

Hybrid White Labeling

This type uses a standard email address for all accounts with some exceptions. It offers a balance between personalisation and simplicity, making it a recommended option for many businesses.

Step-by-step Guide to Setting Up White Labeling

The setup process for white labeling varies depending on the type you choose. This section provides a detailed, step-by-step guide for setting up system-wide, user-specific, and hybrid white labeling. It includes screenshots and clear instructions to ensure a smooth setup process.

System-wide set up

When logged in as an administrator, from the top menu, select Account Settings, followed by Settings and then General Account Settings.

At the bottom of the page, there is a section entitled White Labeling.

  1. Enter the email address you want to use.
  2. Enter the name of who you want the email to come from.
  3. Enter the name who you want text alerts to come from; limited to 11 characters.

    When setting up your white label settings for sending SMS messages, please ensure that your chosen sending name does not contain any parentheses. Parentheses are the curved symbols "(" and ")" used to enclose additional information or clarify text. However, including them in the sending name will cause the SMS to fail. An example of parentheses is shown in the image below.

    To avoid any issues, simply remove any parentheses from your sending name. This will ensure that your messages are delivered successfully.

  4. Select the Confirm your email address button.

You will then receive an email from Amazon similar to the below.

As directed, select the link in the email.

A web page will open stating that the email address has been successfully verified.

White labeling has now been set up and emails from any web user who signs into to your BigChange account will now come from the email address you have verified.

 

User-specific set up

When logged in as a user, from the top menu, select Account Settings, followed by Profile.

At the bottom of the page, there is a section entitled White Labeling.

  1. Enter the Email address you want to use.
  2. Enter the name of who you want the email to come from.
  3. Select the Confirm your email address button.

You will then receive an email from Amazon similar to the below.

As directed, select the link in the email.

A web page will open stating that the email address has been successfully verified.

White labeling has now been set up and emails from any web user who signs into to your BigChange account will now come from the email address you have verified.

Hybrid Setup

  • When logged in as an administrator, from the top menu, select Account Settings, followed by Settings and then General Account Settings.

White labeling has been set up for all web users, you now need to configure individual accounts for those whom you want to use their own.

When logged in as a user, from the top menu, select Account Settings,, followed by Profile.

At the bottom of the page, there is a section entitled White Labeling.

Utilising Out of Office White Labeling

BigChange's white labeling feature also includes an out of office response option. This ensures that when you're tagged in a note while out of office, the notification is sent to the white labelled email address and the sender receives an out-of-office response.
